Terms and Conditions

These Terms and Conditions (“Terms”) govern your access to and use of all services provided through LibMatic (including subdomains such as marcai.libmatic.com), collectively referred to herein as “the Service”, “we”, “our”, or “us”. By using or accessing the Service, you agree to be bound by these Terms.


1. General Information

LibMatic is operated by an individual, Karam Qubsi, as a personally-owned service. It is not a registered legal entity. All services are offered directly under the personal ownership of Karam Qubsi.


2. Scope of Services

LibMatic offers the following services:

2.1 Koha Hosting

Annual subscription-based hosting for libraries using a shared hosting structure with predefined resource limits. Users do not receive server-level access.

2.2 Koha Support

Prepaid support hours for users requiring assistance with Koha. Support is limited to the number of hours purchased per package.

2.3 MarcAI

A monthly or annual subscription service to generate MARC21 records using AI by processing book images.


3. Registration

Users must register and create an account to access any part of the Service. Accurate personal and institutional information must be provided during registration.


4. Payment and Subscription Terms

  • Payments are processed through third-party payment gateways (e.g., Stripe, Paddle).

  • Koha Hosting is billed annually.

  • Koha Support is sold in hourly packages, prepaid and non-renewable.

  • MarcAI is billed monthly or annually.

  • All pricing is fixed according to selected tiers.


5. Refund Policy

Refunds are generally not offered. However:

  • Refunds may be issued at the sole discretion of LibMatic in exceptional cases, such as when the service cannot be fulfilled due to unforeseen circumstances.

  • If LibMatic has already incurred costs (e.g., AI tokens, server provisioning), a partial refund may be considered, deducting such costs.

  • Refunds are also subject to the policies and limitations of the payment gateway used (e.g., processing fees, refund window limits).

  • No refunds will be issued for:

    • Consumed AI tokens.

    • Provisioned servers.

    • Used support hours.

LibMatic reserves the right to determine refund eligibility on a case-by-case basis.


6. User Obligations

Users agree to:

  • Use the Service solely for lawful purposes.

  • Not misuse, resell, or redistribute the Service.

  • Provide accurate and updated contact and institutional information.

  • Not attempt to reverse engineer, clone, or disrupt the functionality of the services provided.


7. Data Collection and Privacy

We collect and store the following user data:

  • Name, email, phone number, and country.

  • Library details such as name, address, and size.

8. Cancellation and Termination

8.1 User-Initiated Cancellation

  • Users may cancel their MarcAI subscription at any time; access remains available until the end of the billing period.

  • Koha Support hours are non-subscription and non-cancellable after purchase.

  • Users may request account deletion via email.

8.2 Termination by LibMatic

We reserve the right to suspend or terminate access to the Service if:

  • The user breaches these Terms;

  • The user engages in illegal activities or misuse of the Service.


9. Modifications

LibMatic reserves the right to:

  • Modify these Terms at any time without prior notice;

  • Discontinue or change any aspect of the Service at its sole discretion.

Continued use of the Service after any such changes constitutes acceptance of the new Terms.
